Position Summary and Scope: The Franciscan Friars of the Holy Spirit (FHS) are Franciscan missionaries to Native Americans. We are based in Laveen, Arizona on the Gila River Indian Reservation, and spread the Gospel by fostering personal relationships with Jesus Christ. The FHS Executive Assistant supports FHS in their mission through administrative duties pertinent to their formation, evangelization, and ministry. The Executive Assistant focuses on communication and organization of resources to grow the ministry of FHS.

Key Position Attributes: The Executive Assistant must be organized and enjoy working in a small, entrepreneurial environment that is mission driven, results oriented, and community focused. The ideal individual will have the ability to exercise good judgement in a variety of situations. The individual must possess strong written and verbal communication skills along with the ability to balance and prioritize multiple tasks. The individual must have the competencies to work independently on projects, from conception to completion and have the ability to collaborate frequently with others. Most importantly, the Executive Assistant must be able to handle confidential information and matters with discretion.

Roles and Responsibilities

Executive Support

  • Provide administrative task support for FHS including but not limited to managing an extremely active calendar of appointments, composing and preparing correspondences, arranging travel plans, itineraries and agendas.
  • Plans, coordinates and ensures schedule is followed and respected.
  • Provides a “gatekeeper” role creating win-win situations for direct access to FHS’s time.
  • Communicates directly to internal and external parties on matters related to FHS.
  • Research, prioritize and handle incoming issues and concerns addressed to FHS, including sensitive or confidential matters.
  • Possess sound judgment to determine appropriate course of action, response or referral.
  • Ability to draft acknowledgement letters and personal correspondences as well as verbal communication on the phone daily.
  • Can prioritize conflicting needs, handle matters proactively and follow through to a successful completion.
  • Perform other related duties as requested by the Community Servant and FHS.
  • Serves as FHS liaison to the Diocese of Phoenix and Native communities.
  • Assists FHS and ministries with travel, lodging and meal planning as needed.
  • Manages outreach events as requested by parishes such as parish missions, retreats, speaker engagements, etc.
  • Administrative duties pertaining to FHS events and donor relations.
  • Assist FHS staff with on and off site events as needed and the ability to work occasional nights and weekends.
  • Database entry for donor management system.
  • Collaborates with external accountant as needed.
  • Manages daily financial needs of FHS.
  • Liaison to Diocese of Phoenix and manager of HR policies.

Education and Experience

  • An active Catholic who is in full communion with the Church is preferred.
  • Bachelor’s degree required. However, a proven equivalent of work experience in an office environment may be considered in lieu of a degree.
  • Strong work tenure: 5-10 years of experience supporting executive level individuals, preferably in a non-profit.
  • Experience in managing budgets and financial statements.
  • Solid knowledge of office processes and business policy along with related computer software and electronic communication tools and resources.
  • Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint).
  • Familiarity with Quickbooks.

Work Hours & Benefits: This is a full-time position with benefits. Your office will be located at 5447 W Pecos Rd. Laveen, AZ 85339. M-F 8:30am-4:30pm. Opportunity to work from home one day a week.
