Administrative Assistant I
Fulltime· Collect, track, and maintain accurate records of attendance, reports, and statistics.
· Organize and maintain both paper and electronic files, including verification and audit documentation.
· Prepare all required documents for, not excluding, the reception of sacraments (e.g., certificates, name badges, seating charts, sacramental announcements, and entries in sacramental books).
· Assist parents/guardians with sacramental documentation and the registration process.
· Coordinate with the Director of Family Catechist the registration for the enrollment process for Religious Education (including bulletin, Mass, and parish website announcements, takes, and records of payments) in coordination with other parish staff members and oversee volunteers.
· Support parent orientation and prepare materials for the start of classes (e.g., class rosters, audiovisual equipment, orientation packets, name tags, catechists´ binders, RE cabinets, and verify facility requests).
· Assist with setting up and closing down classrooms for both children’s and parents’ classes; provide materials and resources to the catechists as needed (e.g., class rosters, lists of catechists and aides, room numbers, materials, audiovisual equipment setup, locking/unlocking rooms).
· Assist with the development and set up of catechetical events and activities such as retreats, meetings, rehearsals, Mass celebrations, and other events as needed.
· Assist as a substitute for religious formation classes for children and/or parents, as needed.
· Perform office duties and respond to walk-ins, phone calls, and/or email requests.
· Other duties as required.
Qualifications
· Associate’s degree in Administration or equivalent preferred.
· Must be bilingual in English and Spanish, with excellent grammar, translation, and interpretation skills.
· Highly organized and detail-oriented, with strong time-management skills.
· Working knowledge of general office procedures, accurate record keeping, and filing with attention to detail.
· Comfortable with audiovisual equipment and basic technology tools (e.g., Chromebooks, tablets, laptops, projectors, PCs).
· Familiarity with Parish Data Systems (OSV) preferred.
· Proficient in Microsoft Office (Word, Excel, PowerPoint, Publisher). Ability to work with others in a complex system.
· Familiarity with and understanding of sacramental, catechetical, and sacramental preparation processes within the Roman Catholic Church.
· Experience in designing and producing flyers, brochures, and advertising materials.
· Flexible and available to work daytime, evenings, and weekends as required by the program.
· Strong interpersonal skills to interact respectfully with staff, parents, catechists, and volunteers.
· Must have a Catechist Certification or be willing to obtain it within three years.
· Diocesan Safe Environment Training approved.
· Ability to demonstrate exceptional customer service skills, professional courtesy, and integrity, and the ability to communicate effectively with families.
Physical Demands
The role requires patience, sensitivity, and good judgment while working with a variety of people. It involves walking, standing, sitting, driving, lifting light office equipment or supplies (up to 25 lbs.), using office machines, reading, hearing, speaking, and seeing.
