Purpose and Scope

To support the Diocese of Phoenix in its mission to Encounter the Living Christ, in association with the Director of Vocations, this position will manage the administration of the Office of Priestly Vocations.


Essential Job Functions

  • Work with the Director of Vocations on the planning, implementing, and evaluating all aspects of promoting, fostering, and recruiting priestly vocations by setting goals and objectives.
  • Work to ensure smooth operation of the Vocations Office, as well as its programs and events.
  • Provide administrative support for the Director of Vocations, including, but not limited to, calendar management, maintaining seminarian files, submitting reimbursement requests, making travel arrangements, etc.
  • Maintain the Vocations Office website and social media, as well as other electronic communications.
  • Create and maintain seminarian database.
  • Create and maintain appropriate resources for providing vocation awareness and other resource material for parish staff and other interested people.
  • Coordinate Vocation Outreach events for the young men of the diocese, including but not limited to: The JPII Classic, Seventh Grade Vocations Day, St. Andrew Dinners, Come and See Retreats, Altar Server Retreat, Discerner Groups, mentoring programs.
  • Collaborate with Vocation Support Groups to promote and support priestly vocations and seminarians.
  • Collaborate with diocesan departments, Catholic Schools, Parish Youth Groups, Newman Centers to provide resources, outreach, and discerner opportunities for men.
  • Support pastors and parishes in their efforts to promote a culture of vocations in their parishes by providing the resources of the Vocations Office and support for Parish Vocations Committees.
  • Maintain good public relations with Chancery staff and other diocesan departments, parishes, schools, the wider civic and church community by being courteous, reliable, and conscious of representing the Vocations Office.
  • Assist in the preparation of and monitoring of a Vocations Office budget on a fiscal year basis.
  • Perform other job-related tasks as assigned by the Bishop or Vocation Director.

Additional Job Functions

  • Perform any job-related tasks necessary for the effective and productive flow of operations in the Vocations Office.
  • Participate in staff meetings, retreats and other team building and formation activities.
  • Occasional evening and weekend working hours are necessary.

Knowledge, Skills and Abilities Required

  • Holds a clear understanding of the Church’s Mission and vision for the Vocations Office and its policies and procedures.
  • Excellent organizational skills such as setting schedules and effectively prioritizing multiple projects at once.
  • Ability to maintain confidentiality of sensitive information.
  • Coordinate complex administrative procedures and multiple projects at once.
  • Working knowledge of computer software and applications
  • Ability to keep records well organized and accurate.
  • Ability to work under conditions of frequent interruptions and maintain accuracy of detail under pressure.
  • Ability to work well with others in a team environment.
  • Ability to demonstrate a high level of professionalism when interacting with people of varying backgrounds.
  • Excellent verbal and written communication skills.
  • Ability to work occasionally in the evenings and on weekends.
Job Requirements:

Minimum Qualifications

  • Active practicing Roman Catholic in full Communion with the Church.
  • Able to articulate a clear understanding of the Catholic faith and to serve as a committed witness to its mission.
  • Bachelor’s degree preferred or equivalent experience.
  • At least five years’ experience in a related position.

Work Environment

  • This job operates in a professional office environment.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and office machines.

Physical Demands

This role requires moving, setup and take-down of events as needed. Also, some filing and frequent local travel is a requirement of this role. This would entail the ability to lift and carry objects, files, open filing cabinets and bend or stand, as necessary.
