Parish Administrator
FulltimeUnder the direct supervision of the Pastor, acts as a liaison between diocesan offices of administration, parish and secular community; oversees the coordination, development, organization and general operation of the parish; collaborates in the development of budget direction; supervises, assists, trains, evaluates parish office and maintenance personnel in collaboration with the Office Manager, Facilities Manager and Pastor; coordinates, directs, facilitates and supervises the operation and maintenances of the buildings, grounds, equipment and furnishings; serves as a resource in the area of management to assist parish staff and leadership in fostering effective interpersonal and operating procedures; performs any other job related tasks as deemed necessary and/or assigned by the Pastor.
DUTIES OF THE JOB
- Acts as a liaison between diocesan administrative offices, parish and secular community; maintains communication with appropriate diocesan offices; provides reports to appropriate parties as needed; communicates with staff on a regular basis; represents Pastor at his request.
- Oversees the coordination, development, organization and general operation of the parish; handles walk-in visitors in pastor’s absence Collaborates with the Pastor and finance board on purchasing procedures and budget expenditures, cost controls, the monitoring of parish expenditures and major fund drives.
- In collaboration with the Pastoral Associate, oversees the coordinatorion and developent of parish ministies/organizations; provides opportunities for parishioners to express needs; assists ministry groups in growth and development in relation to parish goals and mission; encourages staff in their ministry liaison relationships; develops and oversees parish ministry programs in collaboration with parish staff, to include recruiting, training, support and appreciation
- Collaborates with the Pastor, the finance board and the parish staff on the preparation, submission and maintaining of the parish budget on a fiscal year basis, attends finance board meetings; collaborates on the evaluation of past expenditures and current needs.
- Serves as ex officio on Parish Stewardship Council
- Supervises parish compliance with public laws and regulations, negotiates parish contracts with regard to budget constrictions; keeps abreast of parish demographics; maintains communication with appropriate diocesan offices; communicates with staff on a regular basis; in collaboration with Coordinator of HR and Parish Records, monitors all necessary insurance policies and employee benefit programs; develops and maintains employee handbook; represents Pastor at his request.
- Supervises, assists, trains, evaluates parish office and maintenance personnel in collaboration with the Office Manager and Pastor; provides ongoing training as needed; provides evaluation tool for both mid-year and end of year evaluations in relation to job description in collaboration with the Human Resource staff member.
- Serves as contact when priests cannot be reached after hours.
- In collaboration with Facilities Manager, coordinates, directs, facilitates and supervises the operation and maintenance of buildings, grounds, equipment, IT and phone systems and furnishings; oversees purchase of new equipment; establishes preventive maintenance and custodial programs; provides for proper security and fire prevention; provides for general satisfactory appearance of parish facility and safety practices for persons who use facility, oversees building usage by parishioners and non-parish members.
- Develops and oversees building use and calendar planning procedures; prepares and updates policy and procedures manual for ministry leaders in collaboration with Office Manager; oversees the usage of office equipment; assists with staff and parish communication; oversees the parish planning process; handles walk-in visitors in pastor’s absence.
- Serves as a resource in the area of management to assist parish staff and leadership in fostering effective interpersonal and operating procedures.
- Monitors answering service coverage.
- Performs any other job-related tasks as deemed necessary and/or as assigned by the Pastor.
JOB SPECIFICATIONS: KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Aides in the overall smooth operation of the parish collaboration and communication process in the area of administration, finances and personnel in a mature, efficient and professional manner; maintaining confidentiality; continuous professional development through study, self-examination and the use of supervision.
- Must be skilled in management of people, information and resources, supervision and volunteer coordination; needs to be knowledgeable of consensus model of decision-making.
- Must be able to work under pressure, initiate, be creative and anticipate solutions to problems; be able to work with differing personalities; must be able to work within collaborative environment as member of a pastoral team; must be able to vision and create objectives to meet visions.
- Must have dexterity in organizing programs.
- Great deal of interaction with individuals and groups. Extensive reading and writing; at times sits at a desk a good part of the day; drives and walks considerably.
- Appropriate college degree; parish involvement in ministry.
- Minimum of 5 years of experience in administration, supervision, knowledge of principles of church management and volunteer management.
- Complete and maintain Diocesan Safe Environment Training as required by the Diocese.
- Must possess a valid Arizona Driver’s License and own personal transportation. Employee is subject to Diocesan and parish personnel policies prescribed for all personnel.
