Parishioner Liaison- Full Time
Fulltimeour Parish purpose, to be God’s instrument to make people holy. The ideal
candidate is a Catholic in good standing who knows and loves the Catholic Faith, and
is passionate about serving a dynamic, devotional and growing church community. Our
stunning Mission-style church and campus are nestled between the beautiful Mingus
and Red Rock mountains in Cottonwood, Arizona.
Job duties include, but are not limited to:
Welcoming Function
Incoming Registration Forms:
- Receive and process all new-parishioner registrations forms; including office walk-in hard copies and forms submitted thru the website.
- Monitor and approve all My Own Church member submissions (filter spam).
- Upload and/or oversee volunteers uploading all relevant info into ParishStaq Directory and RE in a timely manner (1 week turnaround).
- Work with Welcoming Ministry.
- Pass on new parishioner info to the head of the Welcoming Ministry.
- Coordinate scheduling of Baptisms etc. with the Welcoming Ministry.
Ministries Function
Ministry Needs & Standards:
- Support our ministries in being beautiful ambassadors of our Catholic Faith within our Parish family and out into the community; communicate our Parish purpose to be God’s instrument to make people holy.
- Bring unifying and consistency of culture to all of our ministries, ensuring that they are following all bylaws, and staying Catholic in focus, purpose and membership. Membership requirement is Catholic in good standing.
- Serve as the point person for any problems or needs that arise. Empower ministries to use ParishStaq where applicable.
- Distribute guidelines for all ministries and field any questions ministries have about them.
- ParishStaq Use & Integration for Ministries.
- Manage “Ministry Scheduler” in ParishStaq: customize groups, ministries, roles, events and volunteer scheduling fields.
- Provide training that supports the ministries’ purposes and needs including ParishStaq, following by-laws, other Catholic standards. ParishStaq training modules including “Facility Calendar” and “Ministry Scheduler”; e.g. for scheduling of Extraordinary Eucharist Ministers.
Liaison:
- Serve as a liaison between the ministries and the office/Pastor.
- Serve as a liaison with our school for any shared projects and purposes.
Ministry Fair:
- Schedule and organize bi-annual Ministry Fair to recruit new members to ministries. This includes surveying each ministry head to ascertain their specific needs (e.g. day of the week gaps in serving a particular ministry like Extraordinary Eucharist Ministers).
- Troubleshoot ministry problems and issues. Escalate to Erin when necessary.
Volunteers
Safe Environment:
- Oversee on-boarding of volunteers including assuring SET certifications.
- Manage SET records in ParishStaq SEP (“Safe Environment Program”). Assure all relevant volunteers are current in SEP.
Facilities
Parish Hall Use and Room Reservations:
- Oversee “Facility Calendar” in ParishStaq and troubleshoot any issues with parishioner scheduling.
- Train volunteers in use of this app where applicable.
- Customize permissions and roles among various parish staff.
- Aid custodians in efficient planning for room setup and maintenance via this app.
- Troubleshoot problems and issues. Escalate to Director of Parish Administration when necessary.
Marketing and Software
Marketing:
- Receive all bulletin and pulpit announcement requests and content, and reply within 24 business hours.
- Obtain Father David’s approvals on all pulpit announcements.
- Print, translate and place Pulpit Announcements in Sacristy for weekend Masses.
- Manage Social Media content and Vestibule TV Screen Announcements.
- Work with Bulletin Volunteer to ensure all bulletin content is correct and within deadlines.
ParishStaq:
- Assure parishioner records are up-to-date on ParishStaq: Parishioner Records, RE, Sacraments, etc.
- Assist volunteers, ministries and parishioners in use of ParishStaq.
- Stay current on ParishStaq applications and training modules applicable to role.
This job requires that this person will:
- Possess a happy, humble, servant’s heart.
- Take full ownership of the welcoming function, working hand-in-hand with the Welcoming Ministry.
- Shepherd new parishioners to Religious Education, ministries and volunteer work.
- Oversee the bulletin and pulpit announcements, working with ministries to ensure their needs and projects are fully supported.
- Work collaboratively with office staff, school and parish administration, and ministry leaders on various projects and needs.
- Coordinate Safe Environment Training (SET) training and requirements.
- Deliver training for ministries on ParishStaq and church protocols (7 Principles).
- Organize and shepherd special projects and events such as ministry fairs.
- Apply their joyful creativity in events, solving problems and serving our community.
Qualifications and Skills:
Required:
- Proficiency with Office Software and Social media platforms.
- Demonstrated ability and use of social media for outreach and engagement.
- Quick learner of parish protocols, culture and technology.
- Works comfortably and joyfully with different cultures.
- Excellent verbal and written English and Spanish skills.
- Excellent organizational skills.
Preferred:
- Proficiency and experience with ParishStaq and FlockNotes.
- Experience working in a Catholic parish setting, paid and/or volunteer.
Personal Qualities:
- Strong Catholic faith and understanding of the Church’s mission.
- Compassionate, approachable, and dedicated to serving the parish community.
- Ability to work well with a diverse group of people, including clergy, staff, volunteers, and parishioners.
- A proactive attitude, with a solutions-oriented mindset.
