Pastoral Administrative Associate
The Pastoral Administrative Associate serves as a vital link between the pastoral and administrative functions of St. Mary’s Basilica. This hybrid role combines the responsibilities of an administrative assistant supporting the Pastor/Rector and clergy with those of a pastoral associate, contributing to the spiritual and community life of the parish.
Essential Job Functions

- Clergy Assistance: Provide comprehensive administrative support to the Pastor/Rector, including managing correspondence, scheduling appointments, and coordinating meetings.
- Liturgical Scheduling: Organize and maintain the liturgical calendar, coordinating with clergy, liturgical ministers, and volunteers to ensure seamless execution of services and events.
- Office Management: Assist in the daily operations of the parish office, including handling phone calls, emails, and visitor inquiries; maintaining office supplies and equipment; and ensuring accurate record keeping. Serve as back up to payroll processing, collections and recording of donations. Attend staff meetings and take minutes. Coordinate and collaborate with vendors and outside providers.
- Faith Formation: Collaborate with the Pastor and Director of Mission to develop and implement programs that foster spiritual growth and community engagement among parishioners.
- Pastoral Care: Assist in providing limited pastoral care to parish members, facilitating sick call ministry, supporting bereaved families, and helping to ensure that St Mary’s Basilica provides a compassionate presence to those in need.
- Volunteer Coordination: Recruit, train, and support volunteers for various ministries and parish activities, fostering a spirit of service and community involvement.
Knowledge, Skills and Abilities Required
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in office software and liturgical scheduling tools.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated commitment to the teachings and values of the Catholic Church.
- Fluency in English and Spanish language preferred.
Minimum Qualifications
- Active, practicing Roman Catholic in Full Communion with the Church.
- Able to articulate a clear understanding of the Catholic faith and to serve as a committed witness to its mission.
- Bachelor’s degree in Theology, Religious Studies, Executive Administration or a related field preferred; equivalent experience considered.
- Previous experience in church administration and/or pastoral ministry is highly desirable.
Work Environment
- This job operates in a professional office environment.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
- This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary.
