Job Title: Parish Administrative Assistant/Development Assistant 

Organization: Holy Trinity Catholic Newman Center, Flagstaff, Arizona


Function: The Parish Administrative Assistant/Assistant Development contributes to the creation of a welcoming environment at Holy Trinity Catholic Newman Center, guiding students in discipleship growth and enhancing the Catholic identity as joyful witnesses on Northern Arizona University’s campus and the formation of a faith community which responds to the spiritual needs of the students.


Administrative Responsibilities:

  • Coordinate and maintain an accurate calendar aligned with the Newman Center's mission.
  • Attending staff and other meetings directed by the Chaplain or Chief Operations Officer.
  • Manage incoming and outgoing mail, including payments and contributions.
  • Maintain the Mass Record Book, print Mass Intentions, and keep the church foyer welcoming.
  • Assist with the Safe Environment Training (as a trainer).
  • Handle Sacramental certificates and update Sacrament record books.
  • Assist in money counting for Sunday collections (as needed).

Development Duties:

  • Assist in coordinating/hosting retreats, functions, and social events.
  • Support mailings, phone calls, and database maintenance.
  • Contribute to writing weekly emails, newsletters, and appeal letters.
  • Collaborate on publications and marketing for donor outreach.

Formation:

  • Support Exalt, Retreat Meetings, Newman Nights, and Lumberjack Awakening Retreats.
  • Attending Sunday Mass at the Newman Center and important campus events (as needed).
  • Be of assistance as needed for Lumberjack Awakening Retreat.

Qualifications:

  • Proficiency in general office procedures, secretarial techniques, and record-keeping.
  • Knowledge of Diocesan structure, activities, and Church affairs.
  • Excellent verbal and written communication skills.
  • Strong organizational abilities.
  • Proficiency in Microsoft Office Applications and ability to learn new database, Shelby Membership and Shelby Giving.
  • Ability to work independently and collaboratively in a team setting.
  • Demonstrated professionalism and confidentiality.

Minimum Qualifications:

  • Active practicing Roman Catholic in full communion with the Church.
  • Articulate understanding of the Catholic faith and commitment to its mission.
  • Associate degree, equivalent certificate or experience in ministry (preferred).

  Additional Functions:

  • Perform assigned tasks by the Pastor or Chief Operations Officer.
  • Witness a joyful, Catholic life and pray for the Newman Center community.
  • Foster relationships with students, staff, volunteers, and community members.
  • Foster Divine Intimacy through daily prayer and Adoration.

Physical Demands:

  • Ability to bend or stand as necessary.
  • Ability to lift 30 pounds.
