Purpose and Scope

To support the Diocese of Phoenix in its mission to Encounter the Living Christ, this position provides financial, analytical and information technology support to the Pastoral Center of the Diocese of Phoenix. The individual in this position works to ensure the smooth operation of all aspects of financial and IT related services of the Diocesan Pastoral Center.


Essential Job Functions

· Coordinates the operation of various finance-related committees including and not limited to effectively maintaining member documentation and correspondence; planning for these meetings and recording meeting minutes as needed.

· Coordinates the Finance function’s integration/reconciliation with the Office of Mission Advancement’s donor pledge/payment management function: facilitate flow of data from donor database to accounting system; collaborate with Office of Mission Advancement to reconcile discrepancies between pledge/payment sub-ledger and the general ledger system; facilitate approval/implementation of donor refunds; assist as required and as available with reconciliation of bank accounts and various sub-ledgers of the financial and donor management systems.

· Maintains IT hardware inventory for the DPC; including tracking of hardware assignments.

· Monitors the status and may help to resolve IT help tickets working in collaboration with Coordinator and third-party IT support provider(s).

· Assist with accurate preparation and completion of DPC departmental budget preparation.

· Administers user access, roles, and privileges for various software applications; including but not limited to Microsoft Office 365, Sage Intacct, and Martus Tools.

· Provides or coordinates IT related training to DPC staff.

· Manages print and electronic records for the Diocesan Finance Office.

· Assists with financial analysis, reporting, and presentations upon request.

· Maintains organized, accessible, and current payroll records and spreadsheets for multiple DPC payrolls through year end generation of W-2’s and 1099’s and their submissions to federal and state agencies, with diligent adherence to reporting deadlines.

· Administers and completes the semi-monthly payroll for DPC employees in a timely and accurate manner, including receipt and entering of all non-exempt time sheets.

· Manages and verifies for accuracy and compliance, all employee payroll related changes and data entries, such as overtime pay, deductions, earnings, and tax forms, reconciliation, and any discrepancies as necessary prior to transmission.

· Performs other payroll/financial/IT related functions as required.

· Maintains office supply inventory/ordering for Finance Office.


Additional Job Functions

· Performs any other job-related functions and projects that are necessary to ensure the smooth flow of operations and customer-service oriented environment within the Finance Office.

· Ability to preserve confidentiality of all Diocese records and documents at all times.

Job Requirements:

Minimum Qualifications  

· Bachelor’s degree or associate degree and/or equivalent work experience.

· Vocational training in computer software applications.

· Three years’ experience in an equivalent position with similar job functions.

· Experience in a financial office preferred.

· Must have knowledge of Catholic Church teachings and structures.

· Active, practicing Roman Catholic in full communion with the Church.


Work Environment

· This job operates in a professional office environment.

· This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Physical Demands

· This is largely a sedentary role; however, some filing and computer installation is required. This would require the ability to lift objects and bend or stand, as necessary.
